Business Need
As part of its plan to implement a digital
asset management system, the client required
a digital database for their various publications
(current & archived) for easy use and
reuse. The output digital data would be
further used as source data for custom web
based application implementation at the
client’s end.Owing to RMSI’s
technological expertise, experience, cost-effectiveness
and quality deliverables, the project was
outsourced to RMSI
Solution
The first step involved setting up of a
dedicated team and imparting extensive training
to them for understanding the project requirements
and specifications.
Based on client’s requirements and
after going through the various input and
output formats available, the work processes
and methodologies for the project were established.
To ensure quality delivery within the given
time frame RMSI developed several smart
process automation tools such as:
Preprocess Word Macro:
This tool searches and replaces all special
characters in the extracted files with their
equivalent codes as provided by the client
Project Monitoring System:
This functionality monitors work
flow and tracks the production stage of
each magazine
Formatting Editor:
This tool formats extracted text as per
the 70/73 column margin and creates metadata
header for the articleQA Utility: This is
a batch process utility containing a number
of quality check programs that run on the
final processed files before shipping the
data.
Algorithmic QA Program:
This application ensures rigorous quality
checks.
Benefits
Formatted text files with accurate metadata
were delivered to the client in time. This
helped the client to use the formatted text
data as processed data for their in-house
web based applications.
Automating of several conversion processes
also ensured that the cost benefits of higher
productivity in quick time was transferred
to the client.
The client also gained supplementary capacity
for its Quark conversion and metadata header
creation services from RMSI.
